Director Guidelines
DIRECTOR GUIDELINES AND JOB RESPONSIBILITIES
Thank you for agreeing to direct a show for the Springfield Theatre Centre. Below is some important information and guidelines for the director.
Each STC Director assumes final responsibility for orchestrating and overseeing a production by coordinating and guiding crew and cast members and providing constructive feedback as necessary. The Director’s primary function is to ensure the quality and completeness of a theatrical product. Springfield Theatre Centre is a community theatre company, therefore professionalism and respect for technical and performance volunteers in pursuit of this goal is paramount.
The duties of the DIRECTOR shall include, but are not limited to:
Prior to Auditions:
- Obtain the necessary staff to ensure a quality production and provide a complete production staff listing to the Producer.
- Meet with the Producer to review STC and HCFTA policies, procedures and conduct expectations, Producer and Director Job Responsibilities and all production related documents/forms. There is a copy of the Producer Guidelines and Job Responsibilities in the Director packet.
- Provide the Producer with the rehearsal schedule, which shall include all necessary equipment required for such rehearsals (i.e. a piano for musical rehearsals).
- Review the Reimbursement Request Form, Tax Exempt Form, Incident Report Form, Staff/Crew Bio, HCFTA Personnel/Equipment Forms.
- STC is exempt from Illinois sales tax and will not reimburse sales tax expense. A copy of our letter from the Department of Revenue with our tax exemption identification number is included in both the Director and Producer packets. Please use it to save STC and YOU additional expense.
- Maintain open lines of communications with all STC and HCFTA staff.
- Submit a budget to the STC Executive Director under the specified timeframe.
- Provide audition information (character list, script cuttings, age info, etc) to the STC Executive Director as indicated at the director's meeting.
- Coordinate necessary training for production staff. Features of Theatre I requiring pre-trained staff and scheduling:
- Fly/drop system
- Pit system
- Stage Manager
- Jenny Lift to set lights
- Light designer
- Light operator
- Sound designer
- Sound operator
Auditions:
- Conduct auditions in a professional manner.
Prior to the First Rehearsal:
- Provide a rehearsal schedule to the Producer and the STC Executive Director prior to the first rehearsal.
- Provide the complete production cast listing. This information will be submitted to the Producer prior to the first scheduled rehearsal.
- Keep HCFTA staff posted of changes to the schedule.
- Please remember that you must schedule ALL rehearsals and items needed for rehearsal.
- Complete the production staff contact sheet, and provide a copy to the Producer. A copy is provided in this director packet.
Prior to the First Rehearsal:
- Provide copy of both the STC & HCFTA policies and procedures/conduct to the Producer for presentment to the cast and crew prior to the beginning of the first rehearsal.
- Provide necessary information requested by the producer for the show program.
- STC is a tenant of the HCFTA. Although we are the main tenant of the building, it is necessary for you to keep your cast and staff in the designated rehearsal areas.
Within the first Two (2) Weeks of Rehearsal:
- Coordinate the shooting of your TV commercial, the interview with Nick Rogers at the SJ-R, and the information for the Illinois Times with the Executive Director.
- Meet with the Producer to coordinate the production of marketing materials including playbill posters, postcards, special mailings, etc. The Producer is responsible for the production of playbill posters and postcards for advertising purposes.
During the Rehearsal Process:
- The majority of your set building should take place in the scene shop and then be lifted onto the stage via the pit system. At no time may you drill or nail into the stage floor.
- No food is allowed in Theatre I unless it is part of a stage prop. Only water is allowed in Theatre I. Please remember to clean up after rehearsal. There is a lounge area on the main floor in which those needing to eat prior to a rehearsal, running late, etc. may do so. However, in general, HCFTA discourages bringing of food into the building. If it is needed, please remember to clean up any mess.
- Complete the business expense reimbursement form provided in the Director’s Packet for all reimbursements.
Opening Night/Performance Run
- Each production will have an opening night reception provided by STC. We ask that you have your cast available after each production for a "meet-and-greet" in the main lobby.
Closing Night:
- STC will provide a donation for a strike party. Your producer will coordinate this effort including scheduling an appropriate location at HCFTA to have the strike party.
- Return all production related materials to the Producer
- Submit all related receipts by the last performance of the show to the Producer. No late bills will be accepted without prior approval of the Executive Producer and Executive Director.
- Assist in the coordination of strike at close of show
